What were the challenges during the September evacuation?

  • Unscheduled, a little rough. There were some miscommunications. If alarm goes off we are supposed to evacuate but a facilities worker onsite told some people not to worry about it
  • We were also short-staffed in service areas.
  • Reached out to fire marshall - to tell them that facilities didn’t let us know us know about the test and then telling us the wrong evacuation information.
  • Normally they let us know if there was a trigger and it’s safe to reenter the building.
  • Evacuation plan for the 6th floor - GWC, GSC - Rachel will develop and get back to us.
  • All clear notification by email? How do we know if someone chooses to go work elsewhere. - We are working on Valley Alert system that is internal to the library with lists input by department - these lists will be notified (email, phone, text) of status of building, etc. Will be launched later this year.
  • Some miscommunications on duties for service staff
  • Batteries in walkie-talkies weren’t working

There is a drill scheduled for later in October. How should we prepare library employees and partners? 

  • Safety week reminders - especially making it clear that people must evacuate and meet in staging areas.
  • Sending out evacuation procedures again
  • Reminders to student staff about evacuating in an emergency

  • Campus trainings (about an hour) they have them monthly. Teach you how to clear floor or section of your area. 
  • We have been asked by EHS that we have more people trained as floor monitors. 
  • Trained individuals have special vests. 
  • Rachel will send out links and other information.
  • Anyone interested?- Karl, Derrick, Chris - also let anyone else know in your unit who might be interested. Marjorie will check with URWS team.

Please review emergency contacts in the EOP and we will update that portion during October. Plan is due for update completion and sign off in February.

  • EOP plan (officially filed with campus - due in Feb
  • This has to be done every two years - a lot changes because of so many people leaving
  • Focus on emergency contacts
  • Link will be shared to go over before next meeting.

Disaster recovery plan - next one we look at

  • First aid training - had to cancel because of mask mandate- so we need to reschedule this when it’s safe again. (online modules and then in-person parts that still wouldn’t work).
