Generate Program Files

Now it is time to create the file you will program into the door. Anytime you change the access rights, the program will automatically begin flashing a message telling you how many doors need programming.

  • Click Generate Program Files icon. 

                  

  • A window will pop up. Click Generate Program Files. If you have a lot of doors to program or the HHD has a lot of files on it, it may take the program several minutes for the pop up to appear. Be patient. It will show up eventually. If it doesn't, see troubleshooting
  • A progress bar will appear and then disappear when it's finished. It will appear and disappear very quickly if you only have a couple doors to program. You can click the generate program files button again if you aren't sure it happened. It won't hurt anything.
  •  Click Close when its finished. There is no save button.
  • Next you need to sync those files with the Handheld device (HHD) so don't exit SMS Express yet.

Sync the HHD

  1. The HHD has a cable that plugs into the bottom of it. It splits into two pieces. One piece is the charging cable that should be connected to AC adapter. The other is a USB cable that should be connected to the computer. Make sure both ends are plugged in.
  2. Open Windows Mobile Device Center from the shortcut on the computer.Windows Mobile Device Center (WMDC) is the program that talks between the computer and the HHD.
  3. The HHD is not always automatically detected by the computer. Press the top button on the right hand side of the HHD to wake it up and the computer should connect to it. If it doesn't, you may need to unplug the USB end of the cable and plug it back in to the computer.
    1. Once connected, the HHD will display a message that says it's connecting. 
    2. If the Schlage Utility Software is running, close the program by clicking "OK" in the upper right corner.
    3. The name of the HHD is Portunus, (Greek god of locks and keys), which will show up in WMDC. 
    4. The files should sync automatically once the HHD has connected to the computer, but if you're not sure you can click the sync button (blue arrow in screen shot below) before you take the HHD to reprogram the door. 
    5. There is no need to eject or safely remove the HHD. You can remove it from its cable as long as it is not syncing at that moment. If the computer is not connecting with the HHD, then unplug and reconnect the USB cable from the computer. 

  4. After the files have been synced, open the Schlage Utility Software (SUS) on the HHD. Click the Windows icon in the lower left corner to get list of programs.Click the "S" icon that says "Utility Software" below it. Login information is in the Room Coordinator Binder.
  5. You should see the doors needing programming listed on the HHD now. If there are no doors listed, it means the program didn't download and you need to sync the HHD again.


Programming the Door Lock

  1. Unplug the HHD from the computer. What cables you need to bring depends upon which locks you are programming.
    1. New Locks (CO-200, AD-200): The autosync cable with the usb port that you used to connect the HHD to the computer
    2. Old Locks (CM locks): The autosync serial cable with the two prongs on the end AND the programming credential.
  2. You also should bring both the old and new key cards to test after you have programmed the door (especially the new key card).

Procedure for CO-200 & AD-200 locks

  1. Facing the keypad, plug the USB cable into the port at the bottom of the lock. There is a rubber tab you will need to gently remove and leave hanging from the lock.
  2. Make sure the USB symbol is displayed on the HHD next to the button saying "no device connected." If the toggle is displaying the serial port symbol, the HHD will not recognize the lock.
  3. Press the "Schlage" button at the top of the lock twice. It should start blinking red and green. If it doesn't, wait a few seconds and do it again.
  4. The software will bring up the door, flash a few messages about audits and programming until it says it is complete. The light will stop blinking.
  5. Remove the cable and replace the rubber insert.
  6. Test your new credential (card, fob or PIN) to see if it works.

Procedure for CM locks

  1. Carefully attach the auto sync cable to the bottom of the HHD, being aware of how delicate the pins are on this connection.
  2. Next, attach the other end of the cable to the front of the lock in the two small holes, making sure the side of the plug with two circles is facing up.
  3. Verify the HHD is displaying the serial symbol instead of the USB symbol.
  4. Eventually the HHD will bring up the door you are programming and ask for a programming credential. Don't click OK yet.
  5. Hold the programming credential in front of the credential reader. This is the vertical oval space. You may need to move the credential around a bit until the lock recognizes it.
  6. When the lock recognizes the credential, the red and green lights will begin to alternately flash.
  7. Now you can click OK on the HHD pop-up asking for the programming credential.
  8. Again you will see a series of messages about audits and programming until the HHD says it is done. You can click ok with each pop-up or just wait.
  9. When the lock has successfully been programmed, the lights will flash red and green again.
  10. Remove the cable.
  11. Test the new key card to make sure it works and the old card to make sure it doesn't. 
  12. Go to the next door.

Programming Notes

  • Sometimes you will get a message saying the lock's time isn't accurate. While a switch to or from daylight savings time can be the reason, it can also be that the batteries are button battery is beginning to wear out. It's hard to say. Go ahead and follow the prompts to reprogram the lock's time.
  • Sometimes you will get a "Previous Audit Report Exists" message. If this is a door you are actively collecting audit data from, you don't want to ignore that message.
    • Take the HHD back to the computer and sync it. This will download the audit data. Then generate new programming files and go back to programming the lock.
    • If you override this message, you will erase the audit report and you may lose valuable data. While the program is better than it used to be about saving the audit data, it's not worth the risk.

Syncing the HHD again

  1. Put away the serial autosync cable and the programming credential.
  2. Make sure the Schlage Utility program on the HHD has been closed.
  3. Plug the USB autosync cable into the computer and the HHD.
  4. If necessary, restart Windows Mobile Device Center and wait for the HHD to sync.
    1. If WMD tells you the HHD is not connected, unplug the USB end of the autosync cable from the computer and plug it in again. It should start to sync.
  5. Once it has synced, you can exit SMS Express by clicking on "Facility" in the top menu and selecting "Exit" Or you can click the red X in the corner.
              
  6. The program will ask you if you want to backup your files. Always click Yes. You will never regret taking the time to backup your files because someday the computer may crash and this will save you many, many hours of work.
  7. It should automatically backup to the shared drive. 
    1. S:>Shared>LEAD>Circulation>Rooms>DO NOT DELETE MOVE OR MODIFY
  8. If you still have rooms to reprogram for whatever reason, it is ok to exit the program. It will give you an alarming message about doors being unsecured. Don't worry about it.

  1. This step is only necessary if the key card item record status is currently anything other than "Item in place".
  2. From the Fullfillment menu across the top of the screen, select "Scan in items".
  3. From the drop-down, select the type of work order. Most likely "Circulation Maintenance".
  4. Change "Done" to "Yes"
  5. Scan the barcode. Again, Alma will usually update the status automatically. It it doesnt, then click "OK".

Update the Open Room Record

  1. Go into the admin panel by clicking on the link above the calendar. If you don't see the admin option, you need to login with your ONID login.
  2. Click on Key cards features, which will take you to all the saved barcodes in Open Room.
  3. Scroll down until you find the correct room number. 
  4. Open Room doesn't indicate which is copy 1 and which is copy 2. Look at the old key card to find the correct record.
  5. Click the Edit button.
  6. Delete the old barcode and scan in the new barcode.
  7. Click save and you are done.

Now you can put a black line through the barcode on the old key card. You can throw the old key card. Put the new key card in the drawer at the Circulation desk.
