  • Classroom management roles
    • from Uta - Willamette East has been upgraded so this should eliminate the need for classroom training on that room as it functions like any other Zoom room at this point. In fact, I would eliminate the “request training” option for any of the classrooms at this point.

    • Classrooms used for events more than instruction now. Should Admin take the lead in managing these spaces and what does managing the space mean?

  • Internal to Library Policies 
    • Having direct access to the scheduling calendars has helped with mediation and eliminating duplicate requests. 
    • R&L has the training in onboarding processes within their unit
    • There is a sort of shift to what the rooms are for
      • Develop new habits as to how we use classrooms for library staff meetings
    • The biggest challenge right now, is figuring out when and whether to prioritize student usage to the room
    • There isn't one department who is responsible for making exceptions to the policies we have set. 
    • For Willamette Rooms default use seems to be meetings - it makes sense that Admin makes decisions on exceptions.  
    • It's less clear about how exceptions for Nishihara and Autzen are handled. Default use is student use (open study and student learning - instruction)
      • Classroom reservations will still come through the form 
      • Remove the technology question
      • Admin will check with LEAD on exceptions 
  • External to Library

  • Classroom Calendar privileges
    • Privileges were expanded as a pilot in Fall, 2019.
    • When Covid hit, the classrooms closed and there was never any follow-up about this expansion.
    • Has this been successful? Has there been confusion? Does this expansion impact adherence to classroom guidelines?

It was set up so that R&L librarians could directly book on the Outlook calendar.  

Are there a lot of others that have the privilege? 

It was originally set up for  teaching, but how do we want to continue?  Continue keeping people who teach on it?  If we opened it up to all library employees - training would be required.  The Qualtrics form could still be used, and probably would be for staff who need to book rooms less frequently. 



  • Barnard usage and availability.
    • Currently used by SCARC almost exclusively. Was this the original intent? Or did it change over time?
    • Should this space be available to other library groups?
    • Calendar management and transparency.

SCARC will have priority.  No food, drink, water bottles.  Possible exceptions only when really needed. 

  • Review of classroom reservation guidelines
    • Is this needed this year? If so, it would be a future meeting.
    • Room for discussion use of classrooms for meetings while meeting rooms sit empty.

The website needs clarification.
