User Privilege Functions

Open Room uses two different functions to create login profiles and grant user privileges. It is a little complicated but has a purpose.

  • IP logins 

    • This is the function you use to create an Auto login.
    • Login is tied to the IP address of the staff computer connected to the library network with a LAN cable.
    • An IP login will allow an individual computer to be permanently signed in using its IP address (auto login).
    • ONID username must be used even though the login is tied to the IP and not the ONID account.
    • The exception to this is the computers up at Circulation. I don't know why because they were set up before I started.
    • You cannot login on a wireless device if you only have privileges set up in the IP Logins function. You need to have a role as well.
    • There are two levels of privilege
      • Staff
        • This allows you to set immediate reservations and cancel reservations.
        • You cannot create advanced reservations for others in this setting.
        • You cannot access the Admin panel
        • All 2 computers at the Circulation desk are set to "staff"
      • Admin
        • Admin allows you to access the Admin panel
        • You can create advanced reservations for others
        • Circulation staff have Admin privileges on their computers.
        • The staff computer station at Circulation also has Admin privileges
  • Roles 

    • This allows staff to access their Open Room privileges on a wireless device
    • Privilege is tied to the ONID account so you must use the ONID username when assigning privilege.
    • Same as the IP logins function, there are staff and admin privileges. They function exactly the same.

Auto Logins

Open Room has the ability to allow an individual computer to be permanently signed in using its IP address. This is done through the "IP logins" function.

To create a new auto login

  1. Log in as an administrator
    1. If you're not an administrator or or don't have a login yet, you can do this at the Staff Computer by the Circulation desk.
  2. Click on Admin in the right hand corner on the study rooms page.
  3. Click on IP Logins 
  4. Scroll down to the New Auto Login button
  5. Type in the user's ONID name in the "Username" field
  6. Enter the IP address in the "IP Address" field. To find the IP Address
    1. go to www.whatismyip.com
    2. This will give you both the public IP address (shared by all the computers in Circulation) and your local IP.
    3. Copy the local IP and paste it into Open Room.
  7. Click on Save 
  8. Now, the person will always be logged in when they use that particular computer.

To edit an auto login

  1. Click on IP logins
  2. Click Edit
  3. Enter the new IP address
  4. Click Save

Assigning Roles

Assigning roles allows staff to login to Open Room from wireless devices and access their Admin privileges. This is done using the "Roles" function.

Creating a new Role

  1. Log in as an administrator
    1. If you're not an administrator or or don't have a login yet, you can do this at the Staff Computer by the Circulation desk.
  2. Click on Admin in the right hand corner on the study rooms page.
  3. Click on Roles
  4. Scroll down to New Role button
  5. Type in the user's ONID name and assign them a staff or admin role.
    1. The staff role is for the front desk computers. This role requires a barcode attached to a reservation.
    2. The admin role is for staff members. It allows you to make reservations without a barcode and gives access to the admin panel.
    3. If it's for a shared station, then name it based on its location. Remember the name for later.
  6. Click Create
