During summer term, the study rooms on the 5th floor are unlocked since there are fewer students using the study rooms.
Procedure Overview
- Leave the 5th floor rooms unavailable for reservation in LibCal when opening the rooms for the summer.
- Set SmarTime hours in SMS Express software and reprogram the locks.
- Place summer unlocked door hangers on door handles
- Email department and post on the circulation desk wiki for the student workers about the change
- Contact the kiosk coordinator for slides
Setting SmarTime (SMT)
In SMS Express, the locks can be programmed so that the doors unlock and lock at specified times; this feature is called "SmarTime." On the main SMS Express screen click the SmarTime (SMT) button, which will bring up the SmarTime window.
Click the "Door AutoUnlocks" tab. Select the "New" button at the bottom of the window. In the "Name" field enter a name for the new automatic unlock profile. Select the hours and the days you want for this profile.
Select Save and then Close to exit back to the main SMS Express window. Select Doors in the main SMS Express window.
Highlight the door that you wish to add automatic unlock to and click the Edit button.
Make sure that the "Use First Person In For AutoUnlock Schedules" option is not checked. Having this option selected means that the door will not automatically unlock at the specified time. Someone would have to present credentials to open the door when the library opens and then the door would remain unlocked. The default option is to have this option turned on. To turn it off, go to the main window and click the "Settings" menu to get to "Program Settings." Click the "Time Defaults" tab and uncheck the "Enable 'First Person In' by default." Click the "AutoUnlocks" tabs.
Select the name of AutoUnlock profile you wish to use.
Click the "Assign" then "Save.
Repeat for every door that you want to assign automatic unlock too. Exit when finished.
Generate program files in SMS Express software.
Reprogram doors with the HHD.
Pull key cards for the 5th floor room from the drawer at the Circulation Desk and store them in the Room Coordinator’s desk.
Open the 5th floor facility file in SMS Express.
Look up the summer hours on the OSU Library website and create a profile for all the different set of times that we're open. Make the start time when the library opens and the end time 15 minutes after the library closes. There will be a separate profile for Mondays-Thursdays, Fridays, Saturdays, and Sundays, or depending on the summer schedule.
