Loading Dock Services receives mail/packages/shipments for over 350 people in the Valley Library from 8AM-5PM Monday through Friday (excluding holidays and other closures).  This service is one of the primary responsibilities of Alice Mang Derrick Padar who manages service expectations with the assistance of 2-3 student employees, and back-up support from other staff in the Resource Acquisitions & Sharing Department. 

Loading Dock Service includes the following:

  • Answering the loading dock door and allowing in individuals that have identified themselves as delivery personnel, or OSU personnel such as facilities or recycling.
  • Supporting large shipments.  Liaising with campus mail, campus parcel, and campus freight to arrange for successful pick up and deliveries for building residents.
    • Contact Alice Derrick to help facilitate the arrival and pickup of large shipments.
  • Signing for packages.  We do not inspect packages prior to signing unless:
    • Recipient has specifically asked Alice Derrick for inspection prior to signing.
    • Delivery person is concerned about damage due to shipping.
    • Company requires inspection prior to signing.
  • Sorting packages and noting total amounts, for whom, and when delivery occurred for internal auditing purposes.
    • Mail with generic addresses (121 The Valley Library, Corvallis, OR) will be opened by Alice Mang Derrick Padar to determine recipient. 
  • Notification of package arrival when one of the following has occurred:
    • Recipient asks to be directly notified by Alice Derrick when package arrives.
    • If package is left on the loading dock for more than one week.
    • If multiple or large packages are impeding the normal flow of work.
    • If the recipient has moved out of the building, or is a new/unknown name/unit/department in the building.

The Loading Dock is a small, shared space with heavy foot traffic.  Please notify Alice Derrick if you need to stage material that will take up space.

Loading Dock Services is concerned with safety and security.  It is important to know where packages came from and how they arrived.  Ensuring that ship to addresses are specific helps us sort, notify (if requested), and confirm that packages are safe.  We do follow the USPS recommended guide for suspicious packages.  It is also important for us to know when deliveries are being made.  If you see someone at the door, please request that they use the call box so we know to come down.  Deliveries brought to the front desks of the library should be refused or turned away and directed (outside) around to the loading dock on the west side of the building and to use the call box.  The loading dock is the only place with tools, space, and procedures to deal with deliveries.

Contact Printing & Mailing or your preferred shipping vendor for any shipping forms.  Loading Dock Services does not have oversight over outgoing mail and packages, we simply ensure that there is shelving identified in the loading dock.


Large Deliveries

The vehicle area for the loading dock is small and restrictive in maneuverability. Large items are usually delivered by large vehicles that will have to park and unload just outside the vehicle area or on the street, both of which lack the benefit of a lift. Prior arrangements should be made with Fred Veitenheimer of Environmental Health and Safety in regards to the forklift. "On the fly" arrangements can also be made, but results may vary. Another caveat is the Fred is typically NOT available for the hour of 12:30-13:30 daily.

Insect Treatment Box

Rachel Ziegler and Victoria Heiduschke are Burgess is in charge of the book ovens in the far back corner.  They are used when books are returned with possible pest infestation.  When in use, there is always a note saying so, with a time frame.

Paper boxes go to RAS for the deduplication project.  If they don’t need them, they become available to any building occupants. Please check with Kristin Swetland , Erin Kooyman or Victoria Heiduschke or Erin Kooyman  for availability.

Printer Cartridges

Used toner area (back right corner of loading dock) is generally for Learning Commons printer toner only.  If you put your used toner here, you are ordering a replacement that your department will be required to pay for.  Northwest Print Strategies works on a milkman-type system, so the used toner you put out one month will be replaced with a new one the next month even if you don’t specifically order it.  Toner is picked up and delivered on the first Friday of the month.

Ecampus Marketing Material

Ecampus stores marketing materials and envelopes in the corner of the southwest corner shelving unit.  The contact for this material is Elizabeth Thomas.
