Overview

Multiple, but not all, aspects of the classrooms are managed by the Classroom Coordinator. Unlike some of the other spaces in Valley Library, classroom management is a cooperative effort between multiple departments. Areas of classroom management include:

  • Reservations
  • Electronic lock management
  • Circulation of key cards
  • Technology
  • Signage
  • Policy

Additionally, because each classroom serves a different need, how management responsibilities are assigned is unique to each classroom. While there is some crossover, there are also many differences. Understanding how a classroom is used makes it easier to understand how it is managed. Schedule of Room Coordinator Duties

  • Daily
    • Check classroom email accounts and process reservation requests.
  • As Needed
    • Create replacement key cards (non-functioning or physically damaged) for classrooms.

    • Communicate policy and problem solve with patrons regarding questions and concerns they have over various rooms.

  • Weekly
    • Inspect key cards for peeling/worn labels or barcodes if needed.

  • Per Term
    •  Audit the Alma records for billed key cards that can be withdrawn. Cards can be withdrawn if it has been 1 year since the patron has been billed. 

  • Annually
    • Each summer set "Open Study Hours" on the classroom calendars for Autzen and the Willamettes for the next academic year.

Room Reservations

  • Checking classroom email daily, at least twice per day.
  • Following classroom usage guidelines when responding to reservation requests
  • Ensuring that the classroom calendars are up-to-date and accurate.

Lock Maintenance

  • Replacing batteries in door locks. This should be done once per year for classrooms. 
  • Program locks for staff access as needed and keep detailed records of issued credentials.
  • Troubleshooting lock issues.
  • Maintain documentation of lock specs.

Key Card Replacement

Room Maintenance

  • Check Valley Circulation email inbox for follow-up forms about damage reported to the Circulation desk.
  • Coordinate with Building Coordinator and/or the person assigned to monitoring the "Library maintenance" email account for monitoring reports of classroom damage.
  • Once per term check the rooms' condition for extensive damage.
  • Maintain documentation of room specs and furniture configuration.
