Valley Safety Committee Minutes

July 3, 2015


Coordinator & Minutes – Bryan

Present – Bryan, Dan, Don, Elizabeth, Katie, Kirsten, Victoria


Agenda

  1. dPlan Update
    1. Currently we are unable to download a copy of the Disaster Recovery Plan due to technical issues. dPlan is working on the issue
    2. In the meantime information can still be entered
    3. Bryan will create a campus incident communication statement for the dPlan
  2. Emergency Pocket Plan
    1. Katie has progressed well on the emergency pocket plan and may have a final draft by next week
    2. She is coordinating titles and information with the dPlan
  3. Oregon Heritage Cash Incentive Program
    1. The committee has the opportunity to raise up to $550 for disaster supplies by submitting the library’s Disaster Recovery Plan and Emergency Pocket Plan by July 31st.
    2. Bryan will submit the Disaster Recovery Plan and Katie the Pocket Plan.
    3. If we cannot get a current version of the recovery plan by July 16th (Bryan’s vacation), Don or Katie will submit. If we do not have a current plan by July 30th we will use a former version so we can get a plan submitted.
  4. Staging Area Map
    1. Bryan shared a draft of a building evacuation staging area map.
    2. After a few revisions, Don will share with LAMP.
    3. If approved by LAMP, we would then need to share with department heads for input and approval.
    4. We would like to be able to implement the map and staging area plan by the Aug. 20 Library Admin Briefing and definitely before Safety Week and the evacuation drill.
  5. Safety Week
    1. Safety Week will occur Sept. 14-18
      1. Activities will include
        1. First Aid/CPR-AED training (Bryan)
        2. Evacuation Drill (Bryan and Don)
        3. Kiosk Safety Posters (Katie)
        4. Informational/Quiz/Raffle Emails (Don and Katie)
  6. Admin Briefing
    1. The safety committee will present at the Aug. 20 library admin briefing
    2. Topics will include staging areas plan, Safety Week, and general safety reminders
    3. Bryan, Katie and Elizabeth will present
  7. Power Outage Evacuation Procedures
    1. Bryan shared a draft of the revised power outage evacuation procedures which include temporary evacuation of the building
    2. Bryan will share the draft with LEAD (who implement the procedures) and Don with LAMP
